Full time – Accounts/Front of House Office Administrator

Nicholsons Lawyers is a prestigious Law firm specializing in a wide range of Legal Services. As a leading firm in Taranaki, we pride ourselves on our commitment to professionalism, integrity, and client satisfaction.

We are seeking a talented and motivated individual to join our team as an Accounts/Front of House Office Administrator.  This position is crucial to the smooth operation of our firm as you will be responsible for managing various administrative tasks related to accounting and providing excellent front-of-house support, including holiday cover. You will work closely with both our internal staff and our external clients, always ensuring a high level of professionalism and service.

Responsibilities

Performing daily accounts tasks including accounts payable/receivable, invoices processes and expense tracking.

Maintain accurate financial reports and prepare financial records as needed.

Handle client billing and assist with collections.

Reconcile bank statements and monitor cash flow.

Manage office supplies and inventory.

Assist with general office administrative duties.

Open and close office/reception area and provide cover throughout the day.

Greet clients, answer phone calls and direct enquiries to the appropriate staff members.

Coordinate appointments, meetings, and conferences.

Maintain a neat and organized reception area and ensure a welcoming atmosphere for clients.

Requirements

Excellent organizational and time management skills.

Strong communication and interpersonal skills.

Ability to multi-task and prioritize tasks in a fast-paced environment.

Professional and polished demeanor, with outstanding customer service skills.

Client service/Reception staff must adhere to a corporate dress code at all times.

Ability to maintain confidentiality and handle sensitive information.

Flexibility and adaptability to changing priorities and deadlines.

The following attributes would be favourable

Proven experience working in a similar role, preferably in a busy professional services environment.

An understanding of basic accounting principles and practices.

Proficiency in using accounting software and Microsoft office.
